Task Management Software

When work is discussed in a WhatsApp group and nobody takes it on, the problem isn't discipline — it's that there's no record. Once a task is tied to a person and a date, tracking it and sending reminders becomes the software's job.

What is task management software?

Task management software links the work to be done to a person, a date and a status. Every task has a clear owner, due date and history; it closes when it's done and becomes visible when it's late. For work that needs approval, a workflow takes over: the task moves to the next person on its own, and who approved what and when stays on record.

How does it work?

1

A task is created

The work is recorded with a title, an owner and a date. If needed, it's linked to a group, a project or a customer.

2

It moves on the board

On the Kanban board, the task changes column as its status changes. One look shows how much work each person has.

3

Approval flow

At steps that need approval, the task goes to the person in charge. The flow built on the BPMN engine sets who approves what, and in which order.

4

Closing and audit trail

The task closes and its history stays. Who did what and when can be looked up later.

What's inside?

Assignment and ownership

Every task has a single owner. The "everybody's job is nobody's job" problem disappears once there's a record.

Kanban board

Tasks move through status columns; workload and bottlenecks are visible on the board.

Reminders and due dates

A reminder is set on a task by choosing a date, time and channel (notification, email or both); the same reminder is never sent twice. Work approaching its deadline is reported to managers in stages calculated backwards from the due date.

Approval flow

Work such as leave requests, purchase requests and quote approvals moves step by step; who approved at each step is on record.

BPMN workflow engine

Processes are defined, versioned and run: user tasks, decision points, webhook calls, SLAs and escalation. When the flow changes, you update the process, not the code.

Recurring tasks and escalation

Recurring tasks are generated automatically on a daily, weekly, biweekly, monthly, quarterly or yearly rule; overdue work is escalated to managers in stages. A person receives at most 5 separate escalation notifications a day, and no notifications are sent between 22:00 and 07:00.

Who is it for?

Teams tracking internal work

Teams where requests between departments and small tasks get lost.

Organizations with approval chains

Setups where leave, purchasing and expenses must be approved in sequence.

Teams with recurring work

Regularly repeating tasks such as periodic maintenance, month-end closing and report preparation.

Frequently asked questions

What's the difference between task management and project management software?

Task management follows individual pieces of work. Project management adds a layer of scope, schedule, dependencies and risk on top of them. Both are inside Cortex; a small team starts with tasks and moves to projects as the work grows, without changing software.

Can I define the approval flow myself?

Yes. In the BPMN engine, process steps, decision points and approvers are defined; the flow is versioned, and when it changes, existing records are not affected.

Can I create recurring tasks?

Yes. Periodic tasks are created automatically at the defined interval; each occurrence is tracked as a separate record.

Where do notifications go?

The channel is chosen in the task reminder: in-app notification, email or both. When the time comes, the notification goes to the person responsible; if there is none, to the person who created the task.

Can I see how much work each person is doing?

Open, completed and overdue work is reported per person. The aim isn't surveillance but balancing the workload; it's the only way to see work piling up on two people.

Can external suppliers or subcontractors be assigned tasks?

A user with limited permissions is set up; they see only their own tasks.

Where is our data stored?

In Türkiye, in ELPO's own data center; if you prefer, it can be installed on your own server.

Is the task module sold separately?

No. Cortex is a single platform: tasks, projects, CRM, service desk and HR are all in the same license.

How much does task management software cost?

Pricing depends on the number of users and how it's deployed. Tasks and workflow aren't sold as a separate module; they're part of the platform.
