ERP-integrated e-Invoice

ERP-integrated e-Invoice (e-Fatura, Turkey's electronic invoice) means the invoice is issued from inside the ERP or pre-accounting software you already use, instead of being keyed into a separate portal by hand, and is sent to GİB, Turkey's Revenue Administration, through a special integrator. Users work on a single screen; the document's acceptance, rejection and cancellation status appears on that same screen.

What to check in an integration

Data model fit

Your ERP's invoice record and the UBL-TR fields do not match one to one; unit, tax code, discount and exemption fields are mapped. This mapping is done once, then the flow runs on its own.

Taxpayer status lookup

Whether the buyer is an e-Invoice taxpayer should be queried automatically; otherwise the user checks the list on every invoice and sooner or later a wrong document is issued.

Error and response handling

Rejected invoices, the response period and the cancellation flow should be visible on the ERP screen. Searching for a document's outcome in a separate portal lengthens accounting's end of day.

Archive and access

Documents are stored for the legal period and should be downloadable in bulk when requested. If you change provider, settle in writing at the start in which format you will receive your documents.

▸ Can pre-accounting software and e-invoice software come from the same provider?

Yes. In SmartERP, pre-accounting, customer accounts, stock and invoicing work in the same product as e-Invoice/e-Archive; since ELPO is also on GİB's special integrator list, there is no third company in between.

▸ How long does integration take?

The duration depends on how standard your ERP's invoice data model is. It starts with field mapping and issuing a few documents in the test environment; going live at the start of a period causes the least confusion on the accounting side.

▸ Does it run on our own server or in the cloud?

Document transmission runs over the integrator infrastructure; where your ERP runs does not change this. An ERP on your own server and an ERP in the cloud connect to the same API.
