e-Invoice at fuel stations

At a station the document is not a job separate from the sale: filling ends at the pump, and the document is built on that record. At ELPO, station automation and e-Belge integration are under one roof — when the sale at the pump goes to GİB, Turkey's Revenue Administration, as an e-Invoice (e-Fatura) or e-Archive invoice (e-Arşiv), no files are carried in between.

From pump to invoice

    Filling ends at the pump

    The sale is created in the pump automation and recorded with litres, amount, product, nozzle and attendant. This record already runs in line with the payment recorder device (ÖKC) and the EPDK data tracking unit.

    Document type is chosen

    If the buyer is an e-Invoice taxpayer an e-Invoice is issued, otherwise an e-Archive invoice. The decision is made by looking up the buyer's VKN/TCKN in GİB's list of registered users.

    The document goes to GİB

    The document is sent through the special integrator, and its response and status are tracked. The issued document is also visible in the station software; no files are carried between two separate screens.

    Bulk invoice for fleet customers

    Fillings made by card or vehicle identification are grouped per customer; at the end of the period they are tied to a single invoice, with the vehicle and plate breakdown kept as an attachment.

▸ How is an e-Invoice issued at a fuel station?

The sale is created in the pump automation; depending on whether the buyer is an e-Invoice taxpayer, an e-Invoice or e-Archive invoice is issued and the document is sent to GİB through the special integrator. Because the flow runs inside the station software, no data is entered into a separate program at the till.

▸ Do pump automation and e-documents have to come from the same company?

No; they are two separate services and can come from different companies. The practical benefit of getting them from the same company is the integration between the sales record and the document, and a single point of contact when a problem arises.

▸ Can fleet customers get a single invoice at the end of the period?

Yes. Fillings made by card or vehicle identification are grouped per customer and tied to a single document at the end of the period; the vehicle, plate and date breakdown is kept as an attachment. Limit and discount definitions also come from the same record.

▸ Is e-Archive needed when there is an ÖKC (cash register)?

The payment recorder device receipt and the e-Archive invoice are different documents; which one is issued depends on the buyer and the amount. We clarify together during setup which document you need, based on your taxpayer status and sales type.

▸ If my current automation is another brand, can I get the e-document side from you?

Yes. The e-Belge side works through an ERP-independent REST API; any system that sends JSON or UBL-TR XML can connect. It is possible to move only the document side without changing your automation.
