Cortex sector summary
Commercial enterprise
Risky customers become visible before the order
In a commercial enterprise, losses come from two places: sales that cannot be collected and margin erosion that goes unnoticed. When neither is visible during the period, both are discovered at year end. Cortex keeps the quote, the order and the customer in a single record; it reads invoice, collection and cost data from SmartERP and brings them onto the same screen.
- 3.2%
- bounced cheque rate in the first half of 2026 — the highest level since 2018
- 50%
- increase in the value of protested promissory notes
- 1,240
- applications for concordat (court-supervised restructuring)
Executive summary
What changes in this sector, in six points.
Accounting data reaches the sales team's screen
Cortex is not an accounting system; invoices, collections, stock and costs remain in SmartERP. Cortex shows this data alongside the customer, the quote and the project.
Risky customers become visible before the order
Balance, due date, days overdue and cheque history are on the representative's screen. When the limit is exceeded, the order goes to approval; no new order is opened the next day for a customer who has issued a bounced cheque.
Margin erosion is measured
Every discount is recorded with an approval and a justification. The cost of payment terms is allocated to the price; a sale below margin is flagged immediately.
No quote is left without follow-up
Quotes are stored with their versions, their conversion is tracked and the reason for a lost quote is recorded. The same mistake does not repeat in a loop.
Commission is tied to collection
Commission is calculated on collected turnover; the calculation goes to approval. Work that is sold but not collected does not generate commission.
Project profit is known during the period
Project-based costs are read from SmartERP and appear on the quote screen. A loss-making job is not quoted a second time at the same price.
Work handled in Cortex in this sector
15 topics. Each one states why it requires tracking — most are tied to a deadline, a piece of evidence or a sanction.
- 01
The direction set by the general manager: turnover, margin, collections, portfolio
Turnover, gross margin, collection period, new customer acquisition and regional distribution must reach sales managers, regional managers and representatives with the same clarity.
- 02
Working together with SmartERP: financial data from a single source
Invoice, collection, stock and cost data are held in SmartERP. Cortex shows this data alongside the quote, the customer and the project; it does not keep a second record.
- 03
The head office view and the role of AI
Which department is behind target, which customer's receivable is at risk, which quote has no follow-up, where margin is eroding — the answer must arrive during the period, not ten days after the month has ended.
- 04
Collections, payment term risk and receivables ageing
In the first half of 2026 the bounced cheque rate rose to 3.2 percent, the highest level since 2018; the value of protested promissory notes increased by 50 percent, and concordat applications reached 1,240.
- 05
Quote preparation, versions and price approval
The quote is the document a company produces most and monitors least. When a quote is prepared in a word processor, versions get mixed up, an old price reaches the customer and the reason for a lost quote is not recorded.
- 06
Customer, product and project profitability
The customer with the highest turnover is often the least profitable one. When the cost of payment terms is not reflected in the price, a sale on 120-day terms appears at the same margin as a cash sale.
- 07
The order, shipment and invoice chain
e-Fatura (e-invoice) and e-İrsaliye (e-dispatch note) obligations are making this chain system-based. Goods shipped but not invoiced are found at month end, and sometimes never.
- 08
Keeping price lists and purchase costs up to date
Amid inflation and exchange rate movements, a list price becomes outdated within weeks. When it is distributed as a PDF, no one knows who holds which version, and selling at an old price is a direct loss.
- 09
Sales targets, commission and the collection condition
When commission is calculated on turnover and paid regardless of collection, the company loses twice: the sale is made, it is not collected, and the commission is paid.
- 10
Customer and prospect portfolio
When the portfolio stays on the representative's phone, the customer leaves when the representative leaves. When the same company exists as three records under three different spellings, total risk cannot be calculated.
- 11
Financial analysis: cash flow, budget, cost centres
When the cash flow forecast stays in a single spreadsheet and in one person's knowledge, the company learns of a cash shortfall only when the day arrives.
- 12
Stock, reservations and dead stock
When a representative calls the warehouse to ask "is it in stock", the same goods can be sold to two customers. Dead stock is capital sitting on the shelf.
- 13
Dealer and channel management
When dealer limits are not controlled, a limit breach is noticed only after shipment. When regional and exclusivity rules are not written down, channel conflicts occur.
- 14
After-sales service, returns and warranty
When service records are kept in a separate program, the representative visits the customer unaware of an open complaint. When return reasons are collected under a single item, no quality feedback is produced.
- 15
Account reconciliation and e-document compliance
The Form Ba-Bs notification (monthly reporting of large purchases and sales) has been abolished, and cross-checks are now carried out through e-documents. This does not remove the company's own account reconciliation burden; differences emerge at year end, at a point where they can no longer be collected.
What lies outside the scope of Cortex
This section of the presentation is reproduced as it stands. A buyer who does not know what a product does not do will not trust what it does either.
It is not an accounting application
Invoice, ledger, stock and collection records are in SmartERP. Cortex reads this data and shows it alongside the work; it does not keep a second record.
It does not replace SmartERP; it connects on top of it
SmartERP is configured according to Cortex work tracking; the project-based cost and department-based sales structure is preserved.
It does not make decisions
AI produces suggestions; it does not make price, discount, limit or personnel decisions.
It does not connect to every system out of the box
An integration layer is available; the scope is defined specifically for each project.
Legal basis
The sector headings, deadlines and figures on this page are taken from the Cortex product team's sector presentation dated September 2026. The legal bases are listed below; how each obligation is met is assessed specifically for each institution.
- TTK (Turkish Commercial Code) Art. 1530 · 2026 communiqué on the commercial default interest rate (Official Gazette, RG 02.01.2026)
- 7571 sayılı Kanun (Law No. 7571; VUK provisional Art. 37) · VUK (Tax Procedure Law) repeated Art. 298/Ç
- GİB (Turkish Revenue Administration) e-Fatura and e-İrsaliye regulations (2026 thresholds)
- VUK 565 Sıra No.lu Genel Tebliği (Tax Procedure Law General Communiqué No. 565: abolition of the Ba-Bs notification)
Frequently asked questions
How long does it take to learn?
It does not need to be learned. A Cortex trainer is always at the employee's side. The user says or writes what they want to do; the trainer opens the relevant screen, shows it step by step and, if necessary, does the work itself. It provides training according to the person's authorisation and the work they will do.
Does it integrate with our existing systems?
There is an interface layer for connecting with external systems. Scope and duration are defined specifically for each project, according to the capabilities the other system provides.
Can our existing data be transferred?
Data can be transferred from Excel and similar sources; the duration depends on the data volume and how well the source data is organised.
Does the AI make decisions?
No. It produces summaries and suggestions; the decision to act belongs to the user, and the person who approves is recorded. It handles routine work itself and brings decisions to you for approval.
Is there a separate charge for AI?
No separate subscription is required. If the institution prefers to connect its own provider account, the cost arises in that account.
